How much does AI cost for a small business in 2026?

Short answerFor most small businesses, AI costs fall into four levels: about $20–$30 per user per month for AI assistants like ChatGPT Business or Microsoft 365 Copilot, $0–$100+ a month for an automation platform such as Zapier, roughly $25–$300 a month for an AI receptionist, and a one-time project fee plus running costs for a custom AI system built around your business. Prices below are from 2026 published sources; always check the provider before buying.

The four levels of AI spending

“AI” can mean a $25 subscription or a custom system. It helps to separate the four levels most small businesses move through.

LevelWhat it isTypical 2026 price (USD)
1. AI assistant seatsChatGPT Business, Microsoft 365 Copilot BusinessAbout $21–$30 per user/month
2. Automation platformZapier and similar tools connecting your appsFree tier; paid from about $20–$30/month
3. Ready-made AI toolsAI receptionists, website chatbotsAbout $25–$300/month
4. Custom AI systemsWorkflows, agents and chatbots built for your businessOne-time build plus monthly running costs

Level 1: AI assistants for your team

These are general tools your staff use for drafting, summarizing and research. One 2026 price comparison lists ChatGPT Business at $25 per seat per month and Microsoft 365 Copilot Business at $21 per user per month on an annual plan ($25.20 month-to-month), with Copilot requiring an eligible Microsoft 365 subscription (AI Pricing Guru, 2026).

They are the cheapest way to start, but they don’t do work on their own. Someone still has to ask, check and copy the result into your other tools.

Level 2: Automation platforms

Automation platforms move information between your apps: a web form becomes a CRM contact, a booking becomes a calendar event and a reminder. Zapier’s published plans in June 2026 included a free plan with 100 tasks a month and a Professional plan from $19.99 a month billed annually ($29.99 monthly) for 750 tasks (eesel AI, June 2026).

The subscription is usually small. The real cost is the time to design the workflow, test it and fix it when something changes. Not sure where to begin? See which business tasks to automate first.

Level 3: Ready-made AI tools

These solve one job well. AI receptionists start around $25–$65 a month for low call volumes, while services that mix AI with human agents cost more. We broke the numbers down in how much an AI receptionist costs. Website chatbots follow a similar pattern; our guide to AI chatbots for customer service covers what they can and can’t do.

Level 4: Custom AI systems

When off-the-shelf tools don’t fit how you work, a custom system connects your own tools, data and rules. Pricing usually has two parts:

  • A one-time build fee for discovery, setup, testing and training your team.
  • Ongoing costs: AI usage, the platforms it runs on, and someone to monitor and improve it.

Get both in writing before you start. Our pricing page shows how INTELVYRA quotes custom builds and managed AI operations, including what is and isn’t included.

Hidden costs to budget for

  • Your team’s time to explain processes, review outputs and approve changes.
  • Usage overage when tasks, minutes or AI calls exceed your plan.
  • Higher tiers needed for integrations, extra users or security features.
  • Maintenance when prices, staff, hours or tools change.
  • Review time: AI makes mistakes, so important outputs need a human check.

Are small businesses actually using AI?

Fewer than you might think. The US Census Bureau found 19.8% of US businesses used AI as of early May 2026, with use above 30% among firms of 100+ employees but under 20% among the smallest firms (US Census Bureau, May 2026). For a small business, that means there is still room to get ahead by starting carefully.

How to set a sensible AI budget

  1. List the three tasks that take the most repetitive time each week.
  2. Estimate the hours spent on each and what that time is worth.
  3. Try the cheapest level that could solve it, often level 1 or 2.
  4. Move to a ready-made tool or custom build only when the cheaper option clearly falls short.
  5. Review after 60–90 days and cancel anything that isn’t being used.

Frequently asked questions

What is the cheapest way for a small business to start with AI?

Usually a single AI assistant seat (about $20–$30 a month) or the free tier of an automation platform. Start with one repetitive task before buying more.

Do AI tools have hidden costs?

Often. Watch for usage overage, higher tiers needed for integrations, setup time, and the staff time needed to review AI outputs.

Is a custom AI system worth it for a small business?

Only when a cheaper ready-made tool can’t handle the job and the task is frequent enough to justify the build fee and running costs. Get a fixed written quote first.
